BYLAWS
ARTICLE III: OFFICERS AND DUTIES

The elected officers of this organization shall be but are not limited to: President, Vice-President, Treasurer, Secretary, and Historian. The addition of officers will be determined by the advisor(s).

Section 1. President

The duties of the President shall be to preside over all Association meetings, create and print agendas for all meetings, to serve as chairman of the Executive Committee, to appoint all committees, to enforce the By-Laws, maintain an accurate and current chronological list for the chapter during the term of office, to call special meetings, to act as spokesperson for the Association, and to ensure that proper procedures are followed with regard to University and Society policies.

Section 2. Vice-President

Vice President 1: This vice president is assigned to the scholarship committee. Vice President 1 shall be to serve as acting president in the absence of the President, to serve on the Executive Committee, to serve as an ex-officio member of all committees, to perform all general duties and other duties as assigned by the Advisor(s) and/or president, and serve as project/ program chairperson. (Example: VP1 will head the committee for Dinner, Hayride, and a Concert or Murder Mystery Dinner Theater.) In the absence of the scholarship chairperson, the VP1 will conduct the committee meeting. In the absence of the secretary, the VP1 will take minutes at the meetings.

Vice President 2: This vice president is assigned to the Recruiting committee and the Web Services committee. VP2 shall act as a liaison for the association with the University Student Government Association (SGA). He/ she will attend all SGA meetings as a representative for the association. He/ she will also attend any and all meetings for student groups that are called. VP2 will serve on the Executive Committee and serve as an ex-officio member of all committees, and to perform all general duties and other duties as assigned by the Advisor(s) and/or president. In the absence of the recruiting chairperson or the web services chairperson, the VP2 will make arrangements for one of the committees to have another officer/ committee chair conduct the committee meeting.

Vice President 3: This vice president is assigned to the Service committee and Hospitality committee. Vice President 3 shall serve on the Executive Committee, to serve as an ex-officio member of all committees, to perform all general duties and other duties assigned by the Advisor(s) and/ or the president, and serve as project/ program chairperson for the association for any and all service projects of the association or the University. In the absence of the service chairperson or the hospitality chairperson, the VP3 will conduct the committee meeting. If both chairpersons are absent, VP3 will make arrangements for one of the committees to have another officer/ committee chair conduct the committee meeting.

Vice President 4: This vice president is assigned to the Intramural committee and Spirit committee. Vice President 4 shall serve on the Executive Committee, to serve as an ex-officio member of all committees, and to perform all general duties and other duties as assigned by the Advisor(s) and/or president. VP$ will coordinate the captains for the Intramural teams each semester. The VP4 is to oversee the cookouts and coordination of food for the cookouts. In the absence of the intramural chairperson or the spirit chairperson, the VP4 will conduct the committee meeting. If both chairpersons are absent, VP4 will make arrangements for one of the committees to have another officer/ committee chair conduct the committee meeting.

Section 3. Treasurer

The treasurer is assigned to the Fundraising committee. The duties of the Treasurer shall be to serve on the Executive Committee, to collect fees, to maintain accurate accounting records (including a journal ledger in which all deposits and expenditures are recorded, a file of deposit receipts, and a file of requisition receipts), to collect all fees and membership forms, to deposit promptly into the Association’s account all money received, to process applicable payments, and to render financial reports at all meetings and upon request. Once all membership forms are processed, forms must be turned over to the Secretary for filing.

Section 4. Secretary

The Secretary is assigned to the Communications/ Newsletter committee. The duties of the Secretary shall be to serve on the Executive Committee, to keep the minutes of the Executive Committee and General Assembly meetings, post minutes, to maintain an accurate and current membership roster, to provide Members notification of all meetings and events, take roll call, to act as corresponding agent at all levels, and to report Association activities to the student newspaper, city newspaper, and The Texan Regional Newsletter. The secretary is responsible for the collection and filing of all sign up sheets and sign in sheets at each event. In the event of an absence, the secretary will notify the president and VP1 so that the taking of minutes can be arranged. In the absence of the Communications/ Newsletter chairperson, the secretary will conduct the committee meeting.

Section 5. Historian

The Historian is assigned to the Yearbook committee and Posters/ Fliers committee. The duties of the Historian shall be to serve on the Executive Committee, serve as an ex-officio member of all committees, to perform all general duties and other duties as assigned by the Advisor(s) and/ or the president, to maintain a yearbook containing Association activities, promote publicity for the Association. This position is to help the President maintain a current and accurate chronological list of all association activities and events. In the absence of the Yearbook chairperson or Posters/ Fliers, the Historian will conduct the committee meeting. If both chairpersons are absent, the Historian will make arrangements for one of the committees to have another officer/ committee chair conduct the committee meeting.

Section 6. Materials gathered

All materials gathered, collected, or purchased throughout the year are property of the Association. This is to include but is not limited to film, cameras, pictures, signs and banners, fliers, brochures, and officer notebooks.

Section 7. Notebooks

Each officer is to maintain an accurate and current notebook with regard to their specific office. This notebook is to contain materials to aid the officer in their duties, notes of events, how-to information, and any other materials collected throughout the year. The notebooks will be given to the officer at the first Executive Committee meeting after their election and will be returned to the chapter upon completion of their term of office.

Section 8. Committee Chairs

All committee chairpersons shall serve on the Executive Committee. Committee chairpersons will report directly to their assigned officer. In case of an absence, the chairperson will inform the president and their assigned officer a minimum of two (2) hours prior to a missed meeting and provide them with a committee agenda so the officer can conduct the committee meeting. The chairperson will provide an agenda for all committee meetings. The committee chairperson shall keep track of committee membership activity requirements each semester and will report that information directly to the Advisor(s) by the end of each semester prior to the break. Committee chairpersons must email the association president, their assigned officer, and their committee members once (1) per week to update all information.
